The Caravan Summary of Conditions of Hire
Please note that if you respond to your booking email it will be assumed you agree to these terms and conditions and have read and understood them. We will not accept a booking without the lead contact agreeing to these.
Please note that this a family owned caravan and we request that you treat it with respect.
Our caravan is 4 years old and is functional and comfortable accommodation for families and pets to have a relaxed holiday. We ask that you remember that caravans do get spiders, dust and visitors, even after they have been cleaned and you can be assured that our cleaner will prepare your caravan for your stay. Whilst the caravan is insulated and has heating, please remember it is, in effect, a temporary home and not a brick built holiday cottage, so please remember to bring clothes appropriate to the weather. (We have stayed in snow quite comfortably :-) )
If you have any issues on arrival, you MUST call or text the number in your booking email within 2 hours. A response will be made at the earliest opportunity, but we do not offer a 24 hour service for the caravan. Please also note that as a privately owned and rented caravan, you should go through the owner or contact number to resolve issues, as the park management are only responsible for issues on or around the park itself.
We strongly advise that you purchase separate travel / holiday insurance to cover you for any eventuality or late cancellation.

Cleaning: Please ensure that you leave the caravan in a clean state with all rubbish bagged and taken to the appropriate bin area.
The caravan has a small hoover, brushes and dusters in order to help you ensure that the caravan is left in a good, clean state. If the owner or site cleaner arrives and the caravan has been left in an unacceptable state where extra cleaning is required, a charge of £50 minimum will be levied from your security deposit.
Any repairs needed to repair damage inflicted during your stay will also be taken from your security deposit. If damage is in excess of the deposit you will be invoiced for the remainder due. Rubbish must be emptied from bins before end of your stay and put into site bins. Please ensure you check under beds, in wardrobes and sofa cushions to ensure all personal items are removed from the caravan at the end of your stay.
Gas & Electricity Useage: Please note that we expect you to use energy wisely, as you would at home. Please do not use gas burners on the cooker as a source of heat, or leave hot taps and showers running unnecessarily. If gas needs replacing more frequently than we usually expect, you will be charged back for your extra useage from your security deposit. We do take meter readings at the start and end of each letting.
Please check the inventory list and ensure that items are present on arrival and departure. Missing or broken items will be charged from your security deposit. If on arrival you find something missing or broken, or you feel the caravan is not clean, please call, text or email the owner and inform them / leave a message within 2 hours of checking in. Failure to do this will indicate that the caravan was in good condition on arrival. It is not acceptable to call several days in to your stay to complain about a missing or dirty item.
Games and books are supplied for your use and enjoyment. Please leave them in a good state so that others may also enjoy them. Please stack them carefully away when you have finished playing. Thank you.
No smoking inside the caravan. If you smoke outside please ensure that you dispose of ash and other rubbish safely and responsibly. Please do not smoke in doorways or stub out cigarettes on the outdoor furniture. In the unlikely event that the ashtray is missing, you must purchase an ashtray for your own use.
Only those listed in your booking are permitted to stay in the caravan. In the event that over-occupancy is discovered, you will be asked to leave without notice. This is due both to park requirements for membership and for our insurance purposes. No exceptions can be made and no refund will be given.
Club Membership – By confirming your booking and party members via email you are agreeing to the following re your membership:
- No alcoholic drinks will be purchased/consumed by anyone aged under 18 years.
- Only food and drink purchased on the premises may be consumed in venues.
- Management reserves the right to refuse the right to refuse admission, and
- membership may be revoked.
- As Party Leader you agree to abide by the attached Site and Club Rules and agree to pay a fee as outlined by Park Resorts / Parkdean at Reception, unless otherwise agreed with the owner.

Please note that we have no control over the cost of membership and this is open to change. Your application for membership will be submitted to the park management when we inform them of your booking before your stay; they will have the discretion to grant membership. Payment must be made directly to the park at Reception on your arrival and you may be required to complete a further form at that time.
FULL BOOKING TERMS AND CONDITIONS
N.B. Whilst we are not a business, we feel that terms & conditions make responsibilities clear, saving a lot of confusion. This is our family caravan which we let out for some weeks to help pay towards the site fees (not for profit); as such we want it to be comfortable and clean for both us as a family and for our selected paying guests.
CONFIRMATION OF BOOKING - The holiday contract is between the party leader and the caravan owner (Teresa Sanderson) The holiday contract is subject to English Law and is binding under the relevant conventions. A Confirmation of Booking will be sent to you after receipt of full payment which will show exact details - this is usually sent 6-15 days ahead of your stay. All bookings confirmations will be sent via e-mail to the e-mail address provided by you at the time of booking.
DEPOSIT AND FULL PAYMENT- We require a non-refundable deposit of £80 or 25% of your weekly fee- whichever is the greater - with your booking via email, confirming acceptance of terms within 48 hours of your initial enquiry. The amount of your deposit will be outlined in your booking email. If you elect to pay via installments, please note that a minimum of £100 or 25 % of your total holiday will be the non refundable deposit element of your fees.
Payment preferred via PayPal (please note that we do NOT accept Paypal Cheques), Online banking payment or Cash. CHEQUES ARE NO LONGER ACCEPTED FOR ANY PART OF THE HOLIDAY. The balance must be paid by the dates in your email – or at least a mininum of 10 weeks (in a cleared state) before, whichever is the sooner.
If you book 12 weeks or less in advance of your holiday, immediate full payment is required via online banking or Paypal. This is to protect us from the risk of cheques not being honoured - as advised by our bank. We do accept payment in installments but you must have prior agreement from the owner. There must be an agreed plan in advance (there is no extra charge for this facility) and failure to pay the full amount will result in the forfeit of your holiday in it's entirity. Where the holiday dates can be re-let monies will be refunded minus the non-refundable deposit, any advertising costs to re-let, any difference in price due to reductions that have had to be made to the price to obtain a late booking and a £15 administration fee.These will be clearly explained to you in the event that you cancel, when (or if) your week is re-let. These terms go hand in hand with the cancellation policy further on in this document.
INSURANCE- Personal insurance is NOT included in the price of your Holiday, all travellers are advised to take out adequate travel / holiday insurance.
OTHER CHARGES– It is with regret we have had to substantially increase our security holding deposit to £100/£150 following two separate instances of damage to our caravan. £100 -up to 4 guests and £150 for up to 7 guests and those holidaying with pets) is payable to cover any eventual damages to the property or contents by you or your party, and any extra cleaning charges that may be incurred if you do not leave the caravan in a good state. The deposit will be refunded within 21 days of the end of the holiday (usually much sooner) less any damages where applicable.
Linen: ALL OF OUR BEDS HAVE MATTRESS TOPPERS WITH MATTRESS PROTECTORS OVER THEM. Please ensure they are left without damage or marks. Please remember you will need to bring your own sheets, pillowcases, duvet covers and towels /tea towels There is a double bed, two single beds and a double pull out bed. Duvets and pillows are supplied for all our guests.. Beds are not to be used without adequate bed linen under any circumstances. Any accidents with beds are to be remedied immediately. There is a shop and a launderette on site to clean anything needed. If the mattress toppers are damaged, you must replace them with a good quality, equal item.
Energy Use: Electricity is included and the meter will be read at the start and finish of your holiday. We ask that you use energy wisely, as you would at home. Excessive useage will be charged back to your security deposit.
Gas is included, but last year we saw a 50% increase in gas use. Please use gas carefully. The cooker must not be used as a heater nor be left on for long periods. However, should gas use be deemed to be excessive, we reserve the right to charge an extra fee of no more than £39, deductable from your holding deposit. Please note that we expect you to use energy wisely, as you would at home. Please do not use gas rings on the cooker as a source of heat, or leave hot taps and showers running unnecessarily.
Entertainment Passes: Below are the confirmed Club Membership Fees at Heacham Beach 2020 - this is for those guests who wish to use the facilities, such as entertainment centre and swimming pool.

Please note that we have no control over the cost of membership and this is open to change. CHANGES & CANCELLATION BY YOU- We do not charge clients for minor changes. Should the name of the party leader change, there is a charge of £15 plus any charges incurred by us. Should you /any of your party cancel, the following charges will apply:
Deposits are non -refundable. However if we are able to re-let your holiday we will refund a proportion in line with any extra work, difference in price due to having to offer a late booking price, or advertising fees paid to re-let your booking dates.
- Over 89 days - Deposit (non refundable)
- 56- 89 days before departure: 50% of total holiday cost.
- 0-55 days before departure: 100% of holiday cost.
We strongly advise you to take out holiday insurance on booking your holiday. There are a number of reputable companies online who can do this for you.
CHANGES AND CANCELLATION BY US- In the unlikely event that we have to cancel or drastically change your itinerary, you will be entitled to a full refund or you will be offered a replacement holiday of at least equal value. Should force majeure lead to cancellation of your holiday, we will offer a full refund less £10 per person handling charge plus any charges incurred by us, or a replacement holiday of at least equal value.
ACCOMMODATION – Your caravan will usually be available from 4pm on your day of arrival and should be vacated by 10.00 am on your day of departure, unless otherwise agreed in advance with the owner. Please do not arrive early and expect access to your caravan - it may not be ready for your stay. Please do not smoke inside the caravan.
REPRESENTATIVES ON SITE – The Reception Staff and Park Manager or their staff are on site and will be on hand to welcome you. Any issues with the actual accommodation should be brought to the attention of the caravan owner or their representative in the first instance by texting using the telephone number on your confirmation email. Please ensure that any problems with accommodation on arrival are brought to our attention within two hoursof booking in by text or email, enclosing a photograph if appropriate. Please take the time to read the Information Folder, signs and your final confirmation email - they contain tips which will answer most common problems. Please leave a message on voicemail if we are unable to answer when you call and we will come back to you as quickly as we can. These issues are not the responsibility of the park, as this is a privately owned caravan.
Please inform the Park Manager if there are any problems onsite with entertainment venue, pool, other guests etc. They will note any problems on the site itself. It is often the case that a misunderstanding has lead to your dissatisfaction and the issue can be resolved quickly and to your approval.
PARK RULES – A copy of the park rules are enclosed. By signing the booking form you agree to abide by these rules. Same sex parties or parties of people under 21 years of age are not generally allowed on site - this is a site rule, rather than one we have instigated. Temporary membership to the club is essential to enable guests to use the licensed facilities. If any guest is under 18 years of age, he or she will not be permitted to purchase alcoholic beverages. All guests undertake to conform to the Club rules. The full enjoyment of the recreational facilities - swimming pool, ballroom, tennis and sports facilities - is made available by membership of the Summerfields Holiday Park Club. We cannot be held responsible for any loss or damage to your personal property including motor vehicles during your stay and you park your vehicle at your own risk.
ANIMALS: We do allow dogs in our caravan, with prior agreement only. This is usually restricted to a maximum of two small or one large dog and carries a fee of £35 unless a different price is agreed with the owner at the time of booking. Dogs are not allowed in the bedrooms or on the furniture. We ask owners to bring their dogs bedding and they must be kept on a lead whilst on site. They must ensure their pets have had all their relevant flea and tick treatments in advance of the holiday. The site does not allow dogs to be left alone in caravans. No dogs are allowed without the express permission of the owner BEFORE your stay.
LIABILITY: You are responsible for any loss or damage caused to your accommodation or holiday centre equipment and also for leaving said items in clean condition. Numbers in your party: It is a condition of your booking that the total number in your party shall not exceed the capacity of the accommodation as detailed in your booking. If you break this condition you will be asked to leave the accommodation immediately, without notice and no refund will be given.
BROCHURE & WEBSITE ACURACY: We have taken care to ensure accuracy at the time of publication of our caravan details when advertising. However, information and prices may have changed by the time you book. We will endeavor to notify you of any material change or inaccuracy of which we are aware as soon as reasonably practical. Entertainment is as per the Holiday Park Brochure (Park Resorts) and may be subject to short notice changes - we cannot be responsible for this.
CLEANING: Basic cleaning materials (multi use cleaner, sponges, toilet cleaner, hoover and black bin bags) are provided. Please use them, and if you use up a particular item, please replace it. A budget replacement is fine. This gives some convenience to all of our guests. You will find a list of items in the caravan Information Folder along with a cleaning checklist. Our cleaner will check at the end of all full week stays - we check within 3 weeks of short breaks where no other guests have visited in between.
COMPLAINTS - We do our very best to ensure that we provide you with what we have reserved and communicated to you. If they do not, we will seek to provide a quality solution except where your actions led to the failure and where unforeseeable circumstances meant that the failure could not have been avoided. It is always best to let the park managers know in the first instance, of any concerns you may have whilst you are still on the holiday as we can then work to ensure that the rest of your holiday is to your satisfaction. In the event that any part of your holiday is not up to the standard you expect, please inform us as soon as possible; we will do our utmost to provide you with a quality solution. Should you still be unhappy, please inform us, in writing, within 28 days of your return and we will do our very best to provide answers to your queries.
DATA PROTECTION ACT 1998 - In order to reserve your holiday we will ask for information from you - this will include such criteria as your name, sex, age, address, and possibly details of any illness or disability. We do our utmost to protect the privacy of the information of our clients. We ensure that we only collect and use information that is relevant to your holiday and we take measures to ensure that such information is secure and that it is not used or passed to third parties for any purpose other than effecting your holiday arrangements. We also ensure that our records are kept up to date and contain only retain relevant information. From time to time, we will send you details of holiday promotions using our database. You can ask to inspect our data on you or to delete the file at any time.
Finally, we ask that you respect others who are on holiday at all times.
Heacham Beach Site Rules Relevant to Guests - Subject to change without notice - As far as we are aware, these are still correct.
No animals, other than dogs, may occupy caravans without written permission of the General Manager. . Dogs must be kept on leads at all times and should not foul the public areas of the park. No dangerous dogs may be kept at the Park. In the interest of visitors safety, and following government legislation, we are sorry we are unable to accept the following types of dog: American Pit Bull Terrier, Japanese Tosa, Fila Brasileiro and Dogo Argentino even where these dogs are muzzled as required by government legislation.
THE CARAVANS
- All park grounds are communal.
- Clothes may be dried ONLY on clothes airers that attach to the caravan window. (Airer supplied in caravan)
- Tents and motor caravans are not permitted on the park. Windbreaks may be used in daylight hours only.
- Ball games are to be played only in the designated areas (football and games pitch) and not between the caravans.
All Vehicles should not exceed the 10mph speed limit and should observe any one-way system. Vehicles are parked at their owners risk.
- No motorcycles, quad bikes or any other such vehicles are allowed on the park without the express written permission of the General Manager.
- Boats and tractors must be parked in areas designated by the Park.
- Repairs and maintenance of cars, boats or any other vehicle are not permitted on the park.
- No business may be operated from the caravan.
- In event of behaviour likely to cause offence or damage to any other user of the Park or facilities, the Company reserves the right to remove offenders from the Park without Redress. In this case no refund will be made to you.
All persons using the Entertainment Complex must honour the Club Rules. Membership is discretionary and may be withdrawn at any time by the Park Management.
GENERAL PARK RULES
- Litter must be placed in black plastic bags before you leave your accommodation and disposed of in the bin compounds provided around the park.
- Noise is to be kept to the absolute minimum especially late at night (i.e. after 10.30 p.m.) by all occupants. Please do not let your children run around the park or stand talking / smoking outside caravans, as you may disturb others.
- Satellite Dishes are not permitted.
